Effective 26 July 2026. This notice covers the current public website, business enquiries and engagement administration.

Review status

This notice describes the company’s current website and enquiry handling. External legal review is outstanding, and engagement-specific data-protection roles and terms are confirmed before protected client information is accepted.

Public enquiries only

The website has no file-upload route. Do not send confidential product files, personal data about other people, passwords, bills of materials or access credentials through the public enquiry route. A separate method is agreed only after scope, confidentiality and responsibility are clear.

1. Who we are

Manufacturing Evidence Service is a trading name of Triple Options Services Ltd, registered in England and Wales under company number 15782824.

For website use, public enquiries and our own business administration, Triple Options Services Ltd acts as the controller of the personal information it decides to collect and use. During a client engagement, its role may differ for client-provided information. The applicable controller and processor responsibilities are set out in the engagement terms and any data-processing terms before protected project information is accepted.

2. How to contact us about privacy

Email tripleoptionsservicesltd@ltdcouk.com with the subject “Privacy enquiry”, or write to the registered office above. This is the published privacy contact while dedicated domain mailboxes are being prepared.

3. Categories of personal information

Depending on the contact or engagement, information may include:

  • name, job title, employer and business contact details;
  • enquiry details, deadlines, correspondence and meeting notes;
  • contract, billing, payment and authorised-contact records;
  • names or business details contained in customer, supplier or product evidence;
  • account, access, audit and document-version information in an approved production environment;
  • technical request data such as IP address, requested page, date, time and security events processed by the website host.

Special-category information is not requested through the public website. Confidential product information is not necessarily personal information, but it remains subject to the agreed confidentiality and security controls.

The current website does not operate a marketing subscription or automated marketing list. If that changes, this notice and the applicable consent or opt-out process will be updated before use.

5. Public enquiry and scope checker

The public enquiry form contains no file-upload control. It prepares a message in the user’s own email application rather than submitting information to a website database. The scope checker runs locally in the browser. Nothing entered there is uploaded unless the user chooses to copy or email the resulting brief.

6. AI-assisted work

Original customer documents, confidential product files and identifiable customer information are not intended to be submitted to a public or personal AI account. Any authorised AI-assisted processing is limited to the minimum appropriately protected, redacted, fictional or pseudonymised working information required for the agreed purpose.

Pseudonymised information may remain personal information. AI-generated wording is not treated as evidence and final outputs are checked by an authorised human against the original source.

7. Who may receive information

Information may be shared only where necessary with authorised people working for or with the company, the relevant client and approved providers used for hosting, email, secure document handling, security, accounting, insurance or professional advice. Access should be limited to the purpose and governed by appropriate confidentiality, contractual and security terms.

Provider details relevant to a protected engagement will be addressed during contracting when the production system and required processing are known.

8. International transfers

Some technology providers may process information outside the UK. Where UK restricted-transfer rules apply, the company will use an applicable UK adequacy regulation or recognised contractual safeguard and carry out any further assessment required for the transfer. Engagement-specific information can be requested through the privacy contact above.

9. How long information is kept

Information is kept only for as long as it is needed for the purpose for which it was collected, to meet contractual instructions, or to satisfy legal, accounting, dispute and insurance requirements. The criteria include the status of the enquiry or engagement, client instructions, the sensitivity of the records and any applicable limitation or statutory period.

Project-document retention, return and secure deletion are agreed in the client contract. Records are then deleted or anonymised when there is no continuing lawful reason to keep them.

10. Individual rights

Depending on the circumstances and lawful basis, UK data-protection law may provide rights to be informed, obtain access, correct inaccurate information, request erasure, restrict processing, object, receive eligible information in a portable form and raise concerns about automated decision-making.

A request may require proportionate identity and authority checks. Legal exceptions may apply. No solely automated decision with legal or similarly significant effect is intended as part of this service. Where the company processes information only on a client’s documented instructions, it will route or assist with a rights request as required by the engagement terms.

11. Complaints

Send a data-protection complaint to tripleoptionsservicesltd@ltdcouk.com or the registered office. State that it is a data-protection complaint and provide enough information to understand the concern. The company will acknowledge the concern, investigate it and explain the outcome.

If the concern remains unresolved, a person can complain to the Information Commissioner’s Office, the UK supervisory authority.

12. Cookies and analytics

The current website code does not intentionally load advertising or analytics cookies. Optional technologies must remain off until the required information and consent controls are in place. See the cookie notice and footer cookie settings.

13. Changes to this notice

This notice will be reviewed when the services, contracts, providers, data locations, retention rules, website features or law materially change. Material changes will be communicated where required and the effective date above will be updated.
